We are hiring an Event Planner:

Responsiblities include, but are not limited to:

  • Familiarity with project/event budget development or management; ability to track expenses, assist in conducting reconciliations, and report and budget preparation.

  • Execute event planning for a variety of internal and external meetings, including invitations, managing attendance/RSVPs, and selecting accommodations/venues and meals. Consult with stakeholders on options for all aspects of the event.

  • Collaborate with internal communications area and leadership to understand concept/vision/messaging of events to partner in communication regarding the event with various audiences and determining audio visual needs for events.

  • Partner with internal Finance department in ensuring vendor contracts are executed in a timely and accurate fashion.

  • Leverage available resources internally and externally to coordinate all the details required to ensure an event runs smoothly and successfully. This includes facilitating audio/visual needs for meetings, coordinating the event floor plan, and partnering with appropriate business units as necessary to develop run of show and appropriate lead time to deliver the appropriate messaging/content to achieve business objective.

  • Travel to events to oversee setup or perform the setup themselves, and to troubleshoot any issues that may arise.

  • Assist business units is tracking all applicable expenses assist in conducting reconciliations, budget preparation and preparing reports on activities costs.

Overview:

Our Corporate Event Planner will manage the event planning and execution for a variety of external/public-facing events and meetings – i.e. employee forums, motivational events, Top Performer Retreats and National Conferences. This individual will manage the entire event experience ranging from event budget projections/reconciliations, site selection, vendor contracting with Procurement, food and beverage selection, run of show, tracking expenses, as well as coordinating arrangements for audio visual, transportation, and other services. Additionally, this individual will partner with internal marketing, sales and product contacts on event design and material delivery.

Ideal candidates must be able to work in a team oriented job environment - sharing ideas and creativity, you will become an integral part of a winning team.

 

Requirements:

  • 4+ years of experience working with event planning/management (i.e. corporate events, conferences, tradeshows) and vendor management/relations (i.e. selection process, negotiations, understanding of contracts, conflict resolution); Direct marketing or related industry experience is preferred 

  • Demonstrated experience working effectively under pressure while remaining flexible, adaptable, and open to feedback; ability to remain focused and professional during unanticipated event setbacks

  • Excellent organizational, administrative, project management, and time management skills with the ability to prioritize tasks under tight timeframes/deadlines; ability to carry out multiple responsibilities with minimal supervision

  • Punctual, dependable, attentive to details, and dedicated to achieving operational excellence through events that meet and/or exceed attendees’ expectations

  • Strong written/verbal communication skills with the ability to articulate clear, concise information to a variety of internal/external stakeholders, vendors, etc

  • Ability to consult and negotiate effectively

  • Outstanding interpersonal skills and the ability to create lasting partnerships with stakeholders, colleagues, vendors, etc

  • Proficiency with the Microsoft Office suite

  • Ability to travel (10%) is required

  • Certified Meeting Manager (CMM)

  • Certified Meeting Planner (CMP)
